Our approach to privacy

Credit unions in Canada have a long tradition of respecting the privacy of their members. At Weyburn Credit Union, protecting your information has always been part of how we earn and keep your trust. As your co-operative financial institution, we’re committed to policies, procedures, and services that reflect the care and respect you deserve.

Your privacy — and your right to decide how your personal information is collected, used, and shared — matters deeply to us. We have clear procedures in place that guide our employees and directors in maintaining confidentiality. What has long been our practice is now also our documented promise to you.

Our Board of Directors has adopted the Credit Union Code for the Protection of Personal Information, created supporting policies and procedures, and appointed a Privacy Officer to oversee them. Every employee at Weyburn Credit Union understands the importance of these commitments and follows them with care.

Personal information means any detail that identifies you as an individual. This may include, for example: race, ethnic origin, colour, age, marital status, religion, education, medical information, criminal record, employment history, financial records, address, phone number, email address, Social Insurance Number, fingerprints, blood type, or biological samples.

We collect personal information so we can provide you with the highest standard of financial service. This may include details such as your name, address, age, income, use of accounts, and credit history.

We obtain this information directly from you, through the products and services you have with us, and — with your permission — from credit bureaus, other financial institutions, and references you provide.

Your personal information may be collected for one or more of the following purposes:

  • To understand your needs and eligibility for products and services

  • To open, maintain, and administer your accounts and provide financial services that meet your needs

  • To obtain credit reports and assess your credit rating and credit worthiness

  • To manage risk and security in relation to your accounts and services

  • To comply with legal and regulatory requirements

  • To assist in resolving disputes

  • To offer and provide you with other products and services of Weyburn Credit Union, its affiliates, and service suppliers

By law, we are required to ask for your Social Insurance Number (SIN) when you open an interest-bearing account. We may also use your SIN to help identify you with credit bureaus or other financial institutions. Using your SIN helps ensure the credit information we receive is accurate and refers only to you. Providing your SIN, however, is not a condition of service.

We sometimes use trusted and reputable suppliers to provide services such as cheque and statement printing, data processing, research, and payment clearing. We share only the information necessary for them to perform these services. They are not permitted to use this information for any other purpose, and they are required to protect it in a manner consistent with our Privacy Code.

Your information may also be shared within companies that work with credit unions so we can offer you a full range of financial products and services. These affiliates include:

  • CUMIS Insurance

  • Aviso Wealth

  • Concentra Financial

  • Prairie Payments JOINT VENTURE

  • Credit Union Payment Services (CUPS), and

  • SaskCentral

Any product or service offered as a result of this sharing comes directly from Weyburn Credit Union — not from our affiliates.

For members who have a Mastercard® product, Weyburn Credit Union partners with Collabria as our Mastercard provider. Collabria is given access to the card account information required to process your application, provide associated products, and carry out any changes you request.

You have the right to review the personal information we hold about you and to verify its accuracy. You may access, verify, and update your information at any time by contacting us or visiting your branch.

We will respond to your request within 30 days or let you know if additional time is required. In most cases, there is no charge for accessing your information. If your request is complex and a fee is necessary, we will always explain the reason and let you know the cost before proceeding.

The Privacy Officer is your point of contact if you have questions or concerns about the use of your personal information.

The Privacy Officer monitors how information is collected and secured, ensures employees are trained on privacy responsibilities, and responds to inquiries or requests under this Code.

Depending on the sensitivity of the information, you may provide consent in writing, electronically, or verbally.

We will obtain your written consent when you become a member or when you apply for a new service. In some cases, we may rely on implied consent (for example, personal information collected before our Privacy Code came into effect, or when you continue to use a product or service after being informed of changes).

We obtain or use your information only with your consent. We do not sell your personal information to third parties or use it in any way not described in this Privacy Code.

We will always obtain your consent before we:

  • Obtain credit reports or check references

  • Contact you about other products or services of the credit union

  • Share your information with affiliates so that we can offer their products and services to you

  • Disclose your information to third parties (unless required by law or necessary to provide service)

Subject to legal and contractual requirements, you may change or withdraw your consent at any time by contacting your branch or calling us at 306-842-6641 or 1-800-667-8842.

When you change or withdraw your consent, we will update our records as quickly as possible. Please note that in some cases it may take time for the changes to appear in all systems, as certain records are updated only during regular maintenance cycles.

On our website, we collect only the personal information necessary to improve our services, enhance content, and — with your permission — contact you with information about our products and services.

You can browse all public areas of our site without providing any personal information. Any non-personal data collected (such as IP address, browser type, date/time of visit, or referring page) is used only for statistics and service improvements.

If you send us an email, your information will be used only to respond to your inquiry or act on your request. We will not use your name or email address for any other purpose without your additional consent.

Our site may include links to other websites that are affiliated with or have a business relationship with Weyburn Credit Union. Once you leave our site, their privacy policies apply.

To keep our members, staff, and property safe, we use video surveillance at our branches. Some cameras also capture audio. To the extent a video or audio recording contains information about an identifiable individual, it is treated as personal information.

You may request access to any of your personal information contained in these recordings by contacting us. Recordings may also be released to government institutions without consent if required by law, for investigations, or to comply with a court order. Video recordings are generally retained for 90 days.

To enhance security, Weyburn Credit Union may also use facial recognition technology. Security camera footage may be compared against previously retained records from safety or security incidents, or against publicly available records, to alert us to potential concerns.

By entering our premises, you consent to the use of video surveillance and facial recognition technology for these purposes.

We also use audio recordings for security, quality of service, and training purposes. These recordings are considered personal information and are protected under this Code.

You may request access to your personal information contained in an audio recording by contacting us. Audio recordings may also be released to government institutions without consent if required by law, for investigations, or to comply with a court order. Audio recordings are generally retained for 60 months.

If you have concerns about how your personal information is handled, please contact our Privacy Officer. We will review your concern carefully and work with you toward a resolution.

If you are not satisfied, our Privacy Officer will explain other options, which may include contacting our Board of Directors, seeking third-party mediation, or reaching out to the Privacy Commissioner of Canada.
